Stock value and the low stock status are live formulas, so they update as soon as you change a quantity. Delete the example rows and add your own products.
How to use it
- 1. Download the Excel file, or import it into Google Sheets with File, Import.
- 2. Replace the example rows with your own products and give each one a unique SKU.
- 3. Set a reorder level per product so the sheet tells you what to buy.
- 4. Update the stock column every time stock moves in or out.
- 5. When the sheet gets slow or shared edits start clashing, upload the same file to StockSimple. The columns match our importer exactly.
When a spreadsheet is no longer enough
A spreadsheet works well until stock moves often or more than one person edits it. At that point people overwrite each other, formulas break and nobody trusts the numbers. StockSimple imports this exact template and adds the parts a sheet cannot do: scanning products with a phone camera, printable barcode and QR labels, product photos so staff recognise items at a glance, cycle counting and stocktake mode, automated low stock emails every morning, and inventory valuation reports you can export to PDF or CSV.
Questions about the template
- Is this inventory template really free?
- Yes. Download the Excel or CSV file and use it however you like, for as many products as you need. There is no sign up and nothing to pay.
- Does it work in Google Sheets?
- Yes. Download the Excel file, then in Google Sheets choose File, Import and upload it. The columns and formulas carry across.
- What columns does the template include?
- Product name, SKU, category, current stock, reorder level, cost price, selling price, supplier, location and notes, plus a stock value column and a low stock flag that updates automatically.
- How do I move from the spreadsheet into StockSimple later?
- The column names match the StockSimple importer exactly, so you can upload the same file on the Import screen and your whole catalogue, stock levels and reorder points come across in seconds.
- When should I stop using a spreadsheet for inventory?
- Usually when more than one person updates stock, when you need stock counts and history you can trust, or when you want low stock alerts instead of checking a sheet by hand.
